    Oregon Association of Certified Fraud Examiners Chapter Administrator / Outreach Coordinator

    Job Type: 

    Part-Time; Contract (NTE 24 Hours Per Month) 

    Pay: 

    $18.00 - $22.00 Per Hour, Commensurate With Experience 

    Description: 

    The Chapter Administrator plays an integral role in the growth and development of the chapter, as well as the members you support. 

    The Chapter Administrator reports directly to the President of the OACFE Board. The position allows the flexibility of primarily working from home and traveling to meetings and events approximately once per month.

    The Chapter Administrator will assist the OACFE Board with their monthly and yearly responsibilities. The Chapter Administrator will work with the OACFE Board to ensure the chapter runs smoothly and efficiently, maintaining timely and clear communication with members to make sure they have easy access to OACFE benefits, services and opportunities.

    Experience:

    Event Management: 2 years (Preferred)

    Executive level support: 3 years (Preferred)

    Budget and financial management: 2 years (Preferred)

    Requirements:  

    Must be willing to work flexible hours.
    Must possess strong office management skills. 

    Computer Experience:

     Strong knowledge of office equipment use; computer software experience; word processing; experience working with spreadsheets; database applications; email and internet use.

    Must have the ability to design and deliver professional looking presentations; letters; certificates; invitations; and perform / execute chapter e-mail communications.

    Other Experience: 

    Strong oral and written communication
    Social media savvy
    Email etiquette
    Familiarity with AV equipment
    Reliable transportation
    Professional in appearance
    Will respond to text, phone or email messages within 48 hours

    Responsibilities (include, but are not limited to): 

    Weekly
    Update the OACFE Calendar of Events
    Provide assistance to the local OACFE Chapter Board
    Manage chapter membership database
    Prepare all PR and marketing materials for distribution
    Keep chapter members informed through email communications
    Send prospect information to prospective OACFE members
    Promote OACFE benefits, services and opportunities to chapter members
    Act as liaison between the OACFE and ACFE Headquarters
    Act as main point of communication between the chapter members and the chapter board
    Answer chapter member inquiries by phone or email 

    Monthly 
    Monthly board meeting administration:
    Logistics (meeting space, attendance, meeting minutes, board accountability, reminders, materials, etc)
    Inform members of monthly learning and recruitment events
    Post learning and recruitment events on the OACFE Website
    Chapter event logistics support (recruitment, learning, social)
    Secure venues, dates, and times
    Set up, coordinate, and track payments from members attending the chapter event
    Coordinate speaker, photographer, catering
    AV Equipment – set up presentation
    Arrange travel for some speakers
    Create and send event invitations
    Coordinate event registration
    Create name badges for members and sponsors
    Confirm event logistics with vendors and speaker
    Track event attendance
    Collect contracts from vendors and send to OACFE treasurer for payment
    Know the yearly calendar and budget as far out as possible for each event
    Conduct surveys and track metrics if needed 

    Annually
    Participate on conference planning committee as lead with the chapter president to plan and organize annual OACFE fraud conference 
    Assist in membership renewal process
    Assist president and board in replacing outgoing board members
    Perform various special projects on an as-needed basis
    Procure and deliver swag
